How to Set Up Locations for Appointment Types

Setting up Locations against Appointment Types helps ensure clients and service teams have a clear, seamless booking experience. Once configured, clients can choose the right location during booking, and practitioners’ calendars will reflect where they’re working.

This guide walks you through the setup step by step.


Step 1: Add Your Locations (Super Users)

  1. Go to Control Panel → Practice Information

  2. Scroll to the Locations section

  3. Click Add Location

For each location, you can:

  • Add a location name

  • Enter the full address

  • Add contact details

  • Select which rooms are available at that location

  • Add location-specific instructions for emails and appointment reminders

    • Example:

      • Sydney: “Enter via the red door”

      • Melbourne: “Please use the blue door”

👉 These instructions will automatically appear in appointment confirmations for that location.

Save your changes before moving on.


Step 2: Set Practitioner Working Locations

Each practitioner manages where they work as part of their schedule.

As a Practitioner (or Admin managing on their behalf):

  1. Go to Control Panel → Work & Schedule

  2. Open the practitioner’s Working Schedule

  3. For each day, select:

    • The location(s) they work from (e.g. Sydney, Melbourne)

    • Any Telehealth availability

Example:

  • Monday: Sydney

  • Tuesday: Telehealth

  • Thursday: Melbourne + Telehealth

Optional: Appointment Start Times

If enabled for your service, practitioners can also choose:

  • On-the-hour starts

  • Every 30 minutes

  • Every 10 minutes

👉 These settings apply to the appointment types they are assigned to.

Remember to click Save.


Step 3: Use Schedule Overrides (Optional)

Schedule overrides feed directly into availability and bookings.

From Work & Schedule, practitioners can:

  • Add time off (e.g. holidays)

  • Set a temporary working pattern for a specific week

When adding time off, you can choose to:

  • Cancel all affected appointments, or

  • Leave them in place and manage individually


Step 4: Link Locations to Appointment Types (Super Users)

Now connect locations to appointment types.

  1. Go to Calendar → Calendar Settings

  2. Open an Appointment Type

  3. Navigate to Step 3 of 3: How it’s run

  4. Choose where the appointment can happen:

    • All locations (clients choose during booking), or

    • Specific locations only

Example:

  • Initial Consultation: Sydney + Melbourne + Telehealth

  • Group Session: Melbourne only

Click Save and ensure the appointment type is Open for use.


Step 5: Booking Appointments (Team View)

When booking internally:

  • The calendar will show where each practitioner is working

  • Hover over availability to see location + telehealth

  • When booking a face-to-face appointment, you’ll be prompted to choose the correct location


Step 6: Client Booking Experience

When clients receive a booking link (via email or SMS):

  1. They select the appointment type

  2. They choose the location (e.g. Sydney, Melbourne, Phone, Video)

  3. They select a date and time

  4. They confirm the booking

The location choice is reflected in:

  • Calendar entries

  • Confirmation emails

  • Appointment reminders

  • Practitioners’ calendars reflect where they’re working

  • Clients can easily choose the right location

  • Booking errors and confusion are reduced
