Team Onboarding Flow

Invite new team members with full visibility of pending invites, batch invitations, custom roles, and options to copy a sign-up link, resend, or cancel an invite.

The Team Onboarding Flow gives you full visibility of every invite you've sent — so you can see who's still pending, resend invites, copy a sign-up link to share through your own channels, or cancel an invite if plans change. You can also invite multiple team members in one go.

Previously, when you added a new practitioner or team member, the invite was sent immediately and there was no way to see what had been sent or to take action on it afterwards. Pending invites now sit in your Team tab so you can manage them at any time.

Inviting a Team Member

  1. Go to the Team tab in the left-hand navigation.

  2. Click Add new practitioner.

  3. Enter the team member's email address.

  4. Select the user type:

    • One of the three standard roles — Superuser, Admin, or Practitioner, or

    • A custom role, if custom roles are enabled on your account (e.g. a custom Super User variant your practice has set up)

  5. Choose what to do next:

    • Click Submit to send this invite, or

    • Click Add another to queue up additional invites and send them all together

When you submit, each invited team member receives the invitation email as usual. The difference is that you can now see and manage every invite you've sent from the Team tab.

Viewing Pending Invites

Once you've sent invites, anyone who hasn't yet accepted appears in a pending invites list at the top of the Team tab. This gives you full visibility of what's outstanding — useful when you're onboarding several people at once or following up on an invite that hasn't been actioned.

Managing a Pending Invite

Click the three-dot menu next to a pending invite to take action:

  • Copy sign-up link — copies a direct sign-up URL to your clipboard. Paste it into your own welcome email, internal onboarding doc, or any other channel you use to bring new team members on board. This is helpful if you want to send the link inside your practice's own branded communications rather than relying on the Tacklit invitation email alone.

  • Resend invite — sends the invitation email again. Useful if the original invite was missed, went to spam, or the team member needs a fresh prompt.

  • Cancel invite — withdraws the invite. Use this if the person is no longer joining your team or the invite was sent in error. They will no longer be able to use any previously issued sign-up link.

After the Invite Is Accepted

Once a team member accepts the invite and sets up their account, they move out of the pending invites list and into your active team. Practitioners can then set up their working schedule, and a Superuser can assign them to the relevant appointment types so they can start taking bookings.

Who Can Use This Feature

Superusers and Admins with team management permissions can invite new team members and manage pending invites. Custom roles appear as a user type option only if your practice has custom roles enabled and configured in Control Panel > Roles & Permissions.

Good to Know

  • You can mix and match roles in a single batch invite — for example, queue up one Superuser and one Practitioner before submitting.

  • A copied sign-up link is tied to the specific invite. If you cancel the invite, the link will no longer work.

  • Resending an invite does not change the sign-up link — it simply re-delivers the email.

  • If you don't see the option to add custom roles, speak with your Superuser about enabling them in Control Panel > Roles & Permissions.
