Understanding user roles

Overview of different user roles in Tacklit

Tacklit uses a role-based access system to control what each user can see and do within the platform. Roles are assigned when inviting a team member and can be changed at any time.

Built-in Roles

  • Superuser — Full access to all settings, data, and configuration. Can manage appointment types, billing, integrations, and all practice-level controls.

  • Admin — Access to day-to-day practice operations including scheduling, client management, and reporting. Cannot modify core system settings reserved for Superusers.

  • Practitioner — Access to their own calendar, client files, notes, and clinical tools. Sees only the clients and data relevant to their caseload.

  • Mentor — Designed for the lived experience workforce. Provides access to relevant client engagement tools while respecting the specific scope of the mentor role within a care team.

  • Client — The client-facing role. Clients can access their portal to book appointments, complete forms, view upcoming sessions, and manage their own information.

Custom Roles

Tacklit supports custom roles, so you can create your own role labels and configure exactly what each role can access. This is useful for practices with reception staff, billing teams, or other specialised positions that don't fit the default roles. Custom roles are managed in Control Panel > Roles & Permissions.
