Every client profile in Tacklit includes sections for referral information, GP details, and key contacts. Keeping this information current ensures that reports, letters, and invoices can be sent to the right people, and that referral pathways are properly documented for clinical and compliance purposes.
Updating referral information
Open the client's profile.
Navigate to the Referral section (found in the client details area).
Click Edit to update the referral source β for example, GP referral, self-referral, or EAP.
Add the referral date and any additional notes about the referral.
Save your changes.
Updating GP details
In the client profile, locate the GP Information section.
Click Edit to add or update the GP's name, clinic, phone number, and email.
Tacklit keeps a history of previous GPs, so changing the GP does not lose the previous record.
Save your changes.
Accurate GP information is important for generating reports and letters that need to be sent to the referring GP β particularly for Medicare-funded care where GP communication is part of the Better Access requirements.
Managing Key Contacts
Key contacts are additional people associated with a client β such as a parent, guardian, employer, or case manager. They can receive invoices, reports, and other correspondence.
In the client profile, go to the Key Contacts section.
Click Add Contact to create a new entry.
Enter the contact's name, phone number, and (optionally) email address.
Tag the contact with their relationship β for example, Partner, Referrer, Employer, or Guardian.
Save the contact.
To remove a key contact, click the contact entry and select Remove. Key contacts can be selected as invoice recipients when sending invoices from the Invoices tab.
Tip: Adding key contacts before setting up invoicing rules ensures the right people are available as recipients when configuring automatic invoicing. For child or adolescent clients, ensure guardian contacts are added early so correspondence and consent forms reach the appropriate person.
