Automatic invoicing rules allow you to generate and send invoices to clients without manual intervention for each appointment. A Superuser or Administrator sets up the rules once per client, and Tacklit handles the rest — generating invoices at the right time and sending them to the right people.

Who can set this up

Superusers and Administrators can configure invoicing rules. Practitioners can view the rules but cannot change them.

How to set up automatic invoicing

  1. Open the client's profile.

  2. Navigate to the Invoices tab.

  3. Click Invoicing Rules to open the configuration panel.

  4. Select the invoicing frequency — either Per Appointment or Monthly.

  5. Configure when the invoice should be sent and when it is due.

  6. Optionally personalise the invoice email, include discounts, or add Medicare details if applicable.

  7. Save the rules.

Once saved, the rules are automatically applied to each appointment for that client — including both single bookings and recurring appointments.

Send timing — Per Appointment

  • On booking confirmed — The invoice is sent as soon as the appointment is booked.

  • X days before — The invoice is sent a set number of days before the appointment. Invoices are sent at approximately 8am on the scheduled day.

Example: If you book an appointment on Thursday for Friday, and auto invoicing is set to 3 days before, the invoice will be picked up and sent the next day at 8am. If a client has an appointment on Monday and the rule is set to 1 day before, the invoice is sent on Sunday.

Due dates

The due date is calculated from the date the invoice is sent, not from the appointment date. For example, if an invoice is sent on 7 May for an appointment on 10 May, and the due date is set to 7 days, the invoice is due on 14 May.

Tips

  • You can choose who receives the invoice — the client, a key contact, or an employer.

  • Discounts can be configured as part of the rule to apply automatically.

  • For DVA or Medicare clients, include the relevant claiming details in the invoicing rule setup to streamline the billing process.

  • Automatic invoicing works alongside manual invoicing — you can always generate ad hoc invoices from the Invoices tab when needed.
