How to assign a practitioner to a client profile

Each client in Tacklit can be assigned to one or more practitioners. Assigning a practitioner links the client to that clinician's caseload, controls who can access the client's records, and determines which calendar the client's appointments appear on.

How to assign a practitioner

  1. Open the client profile — search for the client and navigate to their profile

  2. Go to the practitioner assignment section — this is accessible from the client's overview area

  3. Search for the practitioner — type the practitioner's name to find them. The search results show each practitioner along with their current client count, helping you assess caseload

  4. Select the practitioner — choose the practitioner you want to assign to this client

  5. Save the assignment — the practitioner is now linked to the client profile

Changing or reassigning a practitioner

If a client needs to move to a different practitioner (e.g. due to leave, discharge, or a change in treatment focus), you can update the assignment from the same section. Simply search for the new practitioner and save the change. The previous assignment history is preserved.

Checking team capacity

Superusers and Administrators can use the Team tab to view important information about each practitioner's capacity:

  • Number of active clients — how many clients are currently assigned to the practitioner

  • Open appointment slots — available booking capacity based on the practitioner's calendar settings

  • Schedule overview — a summary of the practitioner's availability and workload

This is useful when deciding which practitioner to assign to a new client, particularly in larger practices where balancing caseloads matters for both clinician wellbeing and client access.

Who can assign practitioners

  • Superusers and Administrators can assign or reassign practitioners across all client profiles

  • Practitioners may have limited ability to manage their own client assignments depending on practice settings

Tip: If you need to update a practitioner's schedule or availability, you can do this directly from the Team tab or from the practitioner's calendar settings — no need to navigate to each client individually.
