The client profile is the central hub for managing all information related to a client in Tacklit. It brings together clinical data, administrative details, appointments, documents, and communication history in one place.
Accessing client profiles
From the main navigation, click Clients to view your active client list. Click on any client name to open their full profile. You can search by name or use filters to narrow the list.
What you will find in a client profile
The client profile is organised into tabs and sections, each serving a distinct purpose:
Overview — Client details, contact information, assigned practitioner, groups, tags, and consent status at a glance.
Profile Information — Custom Data Fields (CDFs) that capture structured data specific to your practice — for example, diagnosis, treatment goals, funding source, or risk level.
Activity — A chronological feed of profile notes, including Risk and Important alerts. You can create quick notes here.
Case Notes — Clinical session notes written by practitioners, optionally linked to appointments and using templates defined in the Control Panel.
Files & Attachments — Uploaded documents such as referral letters, consent forms, or external reports.
Responses — Client survey responses and completed consent forms.
Assessments — Psychometric assessment results (PHQ-9, GAD-7, K10, DASS-21, and others) with scoring over time.
Insights — A summary view of clinical trends and data patterns across the client's engagement.
Reports — Published reports and letters generated for the client or their care team.
Appointments — Booking history and upcoming sessions, with the ability to book, reschedule, or cancel.
Invoices — Invoice history, invoicing rules, and the ability to create and send invoices.
Referral & Contacts — Referral source, GP details, and key contacts such as guardians, employers, or case managers.
Medicare — Medicare and DVA details, claim history, and the ability to submit claims directly.
Who sees what
What you see in a client profile depends on your role. Superusers and Administrators have full access. Practitioners see the clients assigned to them and the sections permitted by their role configuration. Role-based access is configured in Control Panel > Roles & Permissions.
Tip: Use the client profile as your single source of truth. Rather than keeping information in external spreadsheets or documents, capture it in the relevant profile section so it is available to the whole care team and can flow into reports and analytics automatically.
