Tacklit sends automatic appointment reminders to clients before their scheduled sessions, helping reduce no-shows and keeping clients informed.
How Reminders Work
By default, clients receive an appointment reminder 24 hours before their session. Reminders include the appointment date and time, practitioner name, delivery mode, and — for telehealth sessions — how to join the call.
Reminder Channels
Reminders can be sent via email, SMS, or both — depending on your practice's configuration and the client's communication preferences.
• Email reminders are sent by default and use your practice's email template styling
• SMS reminders can be enabled for practices that have SMS configured, providing a shorter notification direct to the client's phone
Configuring Reminder Timing
Reminder timing can be configured in your practice notification settings. You can set when reminders are sent relative to the appointment time — for example, 24 hours before, 48 hours before, or at other intervals that suit your practice's workflow.
Customising Reminder Content
Superusers can customise the wording and format of reminder emails to match the practice's tone and include specific preparation instructions. Go to Control Panel → Email Templates to edit your reminder templates. This allows you to:
• Add location-specific instructions (e.g. parking details, building access)
• Include session preparation guidance
• Adjust the language and branding to match your practice
Notification Settings
Reminder behaviour is managed in Control Panel → Notification Settings. From here, Superusers can control:
• Whether reminders are active for the practice
• The delivery channel (email, SMS, or both)
• Timing relative to the appointment
Client Preferences
Clients can manage their own communication preferences from their profile, including how they receive notifications. If a client has opted out of a particular channel, reminders will respect that preference.
Good to Know
• Reminders are one of the most effective tools for reducing no-shows in mental health practices
• Reminders are sent for confirmed appointments only — draft or unconfirmed bookings do not trigger reminders
• If a client cancels or reschedules before the reminder is due, the reminder is automatically suppressed
• SMS reminders include a character limit — keep location instructions concise for SMS delivery (see the SMS Location Instructions feature for managing this)
