Cancellation policies and how to manage them

Updated over 2 weeks ago

The client receives an automatic notification about the cancellation.

Cancellation vs DNA (Did Not Attend)

A cancellation means the session was proactively called off before the appointment time. A DNA means the client didn't show up without cancelling. These are tracked separately β€” DNA tracking is especially important in mental health settings where non-attendance may be a clinical safety signal requiring follow-up.

Client self-service cancellation and rescheduling

You can set cancellation and rescheduling policies that control what clients can do through the client portal. For example, you might allow clients to reschedule up to 24 hours before but not cancel within that window. These policies are configured in your practice settings and inform the rules clients see when managing their own bookings.

Cancellation records

All cancellations are logged with the date, reason, and who initiated the action β€” important for reporting and clinical governance.
