How to take a payment in Tacklit
When a client owes money for a session or service, you can record the payment directly from their client profile. Tacklit supports multiple payment methods and keeps a complete record of all transactions against each client.
Payment methods available
Tacklit supports recording payments via:
Credit card — process a card payment through Tacklit's integrated payment gateway (Stripe)
EFTPOS terminal — record a payment taken via your practice's EFTPOS machine
Direct debit — record a direct debit or bank transfer payment
Cash — record a cash payment received in person
Manual entry — log any other payment method (e.g. cheque, third-party transfer)
How to record a payment
Open the client profile — search for the client and navigate to their profile
Go to the Invoices tab — this shows all invoices for the client, including any outstanding balances
Find the unpaid invoice — use the status filter to show outstanding or overdue invoices if needed
Click Take Payment — select the payment action on the relevant invoice
Choose the payment method — select from the available options (credit card, EFTPOS, direct debit, cash, or manual)
Enter payment details — confirm the amount and any reference information
Submit the payment — the payment is recorded and the invoice status updates automatically
Recording payments made outside Tacklit
If a client has already paid via a method outside the platform (e.g. a bank transfer or cash at reception), you can manually input the payment into the system. This ensures the invoice is marked as paid and your financial records stay accurate.
Where payments are stored
All payments are logged against the client's invoice history. This creates a clear audit trail showing when payments were made, the method used, and the amount recorded. If your practice uses accounting software integration (e.g. Xero), payment data flows through to your accounting records automatically.
Tip: If your practice has automatic invoicing enabled, invoices are generated when sessions are confirmed. You can then record payments against these invoices as they come in, keeping your accounts up to date without manual invoice creation.
