Packages in Tacklit help you manage funded or structured care arrangements by defining a set of services, limits, and rules associated with a funder. Once created, packages can be assigned to clients to track their utilisation against the agreed allocation.

Packages are set up by a Superuser in the Control Panel. If you would like Packages enabled for your account, email [email protected].

Step 1: Add a funder to Contacts

Before creating a package, ensure the funder is set up in your Address Book (Contacts tab). Funders can be organisations such as EAP providers, insurance companies, NDIS plan managers, or government agencies. The system also provides default funder types: Out of Pocket, Insurance, Medicare, Third Party, and Other.

Step 2: Create a package

  1. Go to Control Panel > Packages.

  2. Click Create Package.

  3. Enter the package name (required) and optional description and code.

  4. Select the package type (required).

  5. Select one or more funders from your Address Book or the system list.

  6. Choose the control type:

  • Client-controlled β€” Limits are set per client. Options: None, or a maximum number of appointments.

  • Funder-controlled β€” Limits are set at the funder level across all clients. Options: None, Total Services count, Client count, or Dollar Spend.

  1. On page 2, add the services included in the package β€” these can be appointment types or activities. You can copy down to add the same service multiple times. Limits are based on your page 1 selections.

  2. Save the package.

Step 3: Assign a client to a package

  1. Open the client's profile.

  2. Navigate to the packages section and click Add Package.

  3. Select the relevant package.

  4. Optionally, link the package to a referral or episode of care. If linked to an episode, bookings are limited to that episode only.

  5. Save the assignment.

You can also pause a package to temporarily prevent further bookings, or remove it entirely.

Step 4: Book appointments against a package

When booking an appointment for a client with an active package, the package allocation is automatically tracked. The system will show remaining utilisation so you know how many sessions or how much spend remains.

Step 5: Manage utilisation

The Edit Utilisation function (available to Superusers and Admins) lets you manually override allocation. You can check a service to remove it from the allocation count, or uncheck to make it bookable again. This is useful when sessions are cancelled or when a funder approves additional sessions.

Using packages in Care Pathways

Once packages are created, they can be included as templates during Care Pathway setup. Select the package template when configuring a pathway, and it will be automatically assigned when a client enters that pathway.
