Some important considerations
Pre-requisite: set up the client's DVA details in the Medicare tab of the client profile.
It is a good idea for the service to set up automated invoicing in a client's profile so the invoice is automatically generated, reducing steps during the claim process. Automated invoices should be sent to 'Other' with a generic email address so they are not sent directly to the client.
Alternatively, upon completion of an appointment, generate an invoice manually in the invoicing tab.
To make a claim, both the Event and Payment need to have occurred.
About DVA claims in Tacklit
Providers (Service or Practitioner) can raise claims with the Department of Veterans' Affairs (DVA) for straight-through approval and fast payment.
The client must possess a valid DVA card with a DVA file number to be eligible for DVA claims.
To direct payment to the service, the Service Provider Number needs to be added by a Superuser.
a. Go to Control Panel > System Connections > Medicare
The service needs to add or edit Location IDs with a Location Type (set up by a Superuser).
b. Go to Control Panel > System Connections > Medicare > Location section. The 'Hospital' Location Type will require a Location Provider Number to be set.
The client's DVA details need to be added to the Client Profile Medicare tab and validated.
c. The client can update this in their own account (if they have a full profile), or the Superuser or Practitioner can add it in the client's Medicare tab.
Submitting a DVA claim
Submitting a claim to the DVA follows a similar process to a Bulk Bill Medicare claim.
Go to the Client Profile > Medicare tab and select Submit New Claim.
Click the three dots next to the invoice overview and select Bulk-bill Claim.
Ensure the following fields are correctly filled in:
MBS code — must be applicable to the conducted appointment.
Location ID — must match where the appointment was conducted.
Servicing Provider Number — must be the provider number of the clinician who conducted the appointment.
Servicing Provider Name — selecting this will auto-populate the Location ID and Servicing Provider Number.
Pay Benefit To — this determines which account receives the DVA payment.
Tip: Setting up automated invoicing for DVA clients helps streamline the claim process. Configure invoices to generate automatically on appointment completion so you only need to submit the claim.
