Client Data Field Edit mode

Edit mode is a time-saving feature that lets you open all Custom Data Fields (CDFs) on a client's Profile Information or Health Information section at once — like a form — so you can enter or update multiple fields in a single pass before saving.

Why Edit mode exists

Without Edit mode, updating client data fields means clicking into each field individually, making a change, and saving — one at a time. This is fine for a quick single-field update, but it's slow when you need to enter or update lots of information at once. Common scenarios include onboarding a new client, updating details after an intake session, or doing a periodic review of a client's clinical information.

Edit mode solves this by switching the entire section into a form-entry view where every field is editable simultaneously.

How to use Edit mode

  1. Open the client profile — search for the client and navigate to their profile

  2. Go to Profile Information or Health Information — navigate to the section containing the data fields you need to update

  3. Click Edit mode — this switches the view so that all fields in the section become editable at once, displayed like a form

  4. Fill in or update the fields — work through the fields as needed. You can tab between fields, use dropdowns, enter free text, select dates, and check boxes — all without leaving the form view

  5. Save — once you've made all your changes, save to commit everything in one action. All updates are recorded with a timestamp and your name for audit purposes

When to use Edit mode

  • New client onboarding — populate all profile and health fields after an initial intake session

  • Post-assessment updates — update diagnosis, treatment goals, risk information, and other clinical fields after a comprehensive assessment

  • Periodic reviews — update multiple fields during a scheduled care plan review or case conference

  • Data migration — bulk-enter information when transitioning a client from another system

How it differs from single-field editing

Outside of Edit mode, each field on the Profile Information or Health Information section can be edited individually by clicking on it. This is useful for quick one-off updates (e.g. changing a phone number). Edit mode is designed for situations where you need to touch many fields at once — it saves significant time by removing the need to open, edit, and save each field separately.

Who can use Edit mode

Any user with permission to update client data fields can use Edit mode. This includes Practitioners (for their assigned clients), Administrators, and Superusers. The fields available will reflect the CDFs configured for your practice by Superusers.

Tip: Edit mode is particularly useful after a first session when you have a lot of client information to capture. Open Edit mode, work through the fields methodically, and save once — it's significantly faster than updating fields one by one.
