How do I block time out in my calendar?

Tacklit's calendar allows you to block out time for personal appointments, admin tasks, lunch breaks, or any other non-client activity. Blocked time is visible on your calendar and prevents clients from booking into those slots.

How to block time in your calendar

  1. Open your calendar — navigate to the calendar view in Tacklit

  2. Click on the time slot — click anywhere on your calendar at the date and time you want to block. The event creation form will appear

  3. Enter the event details — add a title for the event (e.g. "Lunch", "Team meeting", "Admin time", "Dentist appointment") and confirm the date and time

  4. Set the duration — adjust the start and end time to cover the full period you want to block

  5. Save the event — the event is added to your calendar and the time is blocked out

What blocked time does

When you create a calendar event, that time slot is marked as unavailable. This means:

  • Clients cannot book appointments during the blocked period (if you use online booking)

  • Other team members can see the time is blocked when viewing your calendar (the event details may be private depending on your settings)

  • The blocked time is reflected in your availability calculations

Using highlights

Tacklit supports calendar highlights, which let you colour-code different types of events or time blocks. You can use highlights to visually distinguish between different categories — for example, using one colour for personal appointments, another for admin time, and another for supervision sessions. This makes it easy to scan your calendar and understand how your time is allocated at a glance.

Common uses for time blocking

  • Personal appointments — dentist, doctor, school pickup, etc.

  • Admin and documentation time — block time for writing case notes, reports, or catching up on correspondence

  • Lunch and breaks — ensure you have protected break time between sessions
